ERPNext vs QuickBooks & Sage: What Growing Kenyan Businesses Should Know

Most Kenyan businesses start on QuickBooks or Sage because they need accounting — and both do that job well at the beginning. The trouble starts when the business grows: multiple warehouses, several sales channels, stock that moves daily, and a finance team reconciling everything by hand.

The core difference is scope. QuickBooks and Sage are accounting systems that have bolted on extra features over time. ERPNext is a business platform where accounting is one module among inventory, sales, purchasing, manufacturing, HR, payroll, CRM and projects — all sharing the same database.

Where each option fits:

  • QuickBooks / Sage: single-entity accounting, service businesses, simple retail with one till
  • ERPNext: multi-warehouse inventory, manufacturing, distribution, schools, clinics, multi-branch retail
  • Migration trigger: when you keep a separate stock system, or export data to Excel to answer management questions

Cost is the other surprise. QuickBooks and Sage charge per user, per year, in foreign currency — a recurring bill that grows with headcount. ERPNext is open source, so you pay for implementation, hosting and support rather than per-seat licences. For a 40-user company, that difference compounds quickly.

Practical considerations before switching: 1. Data migration — your chart of accounts, customers, suppliers, items and opening balances must be mapped carefully 2. Statutory setup — VAT, eTIMS, PAYE, NSSF and NHIF rules need configuring once, correctly 3. Training — finance staff need a short, focused onboarding on the new invoice and payment flows 4. Phasing — you can run payroll or inventory in ERPNext first, then move accounting

A hybrid start is often the smartest route: keep accounting where it is for one quarter while ERPNext runs inventory, sales and purchasing, then cut over once your opening balances reconcile. That way nothing stops working while you transition.

If you are unsure whether you have outgrown your accounting software, the test is simple: if a director asks for a stock valuation, a customer ageing report and a branch profit figure, and answering takes more than an hour of spreadsheet work, the system is holding the business back.
